I've used several generations of this product, the 9200 being the best. To work properly, you'll need a PC or file server to act as a central storage location. The server software lets you create user accounts so that the scanner can be used to save the files in it's disk space, or email the documents to yourself or anyone else you need to send them to. The storage folder on the server can be accessed remotely through file sharing, so it's just like the files are local on your desktop if you need them locally.
I've seen businesses completely replace their mail room delivery with a digital sender. Scanning all incoming mail and forwarding it electronically to the person it was addressed to. Only documents that require the original paper for legal reasons need be sent to users. All the rest could then be recycled stopping the collection of junk paper around the office.
It's server software can also be used with the HP printers that have the digital sending facility built into the control panel. It gives these machines the same abilities as the sender to a degree. The 9200 scans both sides very fast, in full color. Saves in Tiff files or PDF automatically. Printer/copiers with the ability usually only scan one side. This is one of the few machines that help you achieve the "paperless" office many companies work towards.
This is obviously not something an individual user would have much use for. Cheaper desktop scanners could accomplish many of it's features on a small scale. This machine is designed to scan hundreds of pages of documents automatically. It has replaceable drive rollers so that it's easy to keep running smoothly. It's cost comes from the built in computer operating system. It boots from an internal hard drive. It requires configuration to operate on your local network. It needs to know the address of you mail server for example. In some environments, it can use the mail servers accounts avoiding the need to configure these things into it's own memory.
It will require someone to it's local expert to avoid problems. HP maintains a user forum for the product so this person can communicate with experts should an unusual problem arise. This user group can be a god send if you have problems figuring out a problem. Ideally this person should have good computer skills, above just simple office software use. But any sharp savy computer user can figure it out and keep it operating smoothly.
It may be helpful to purchase from a dealer that offers installation assistance. Just be sure this assistance isn't just unpacking the box. If you don't know how to manually setup a computer on a network and configure it's connection for mail, you will have problems configuring the sender.
