Over 20 years out of date, "Information and Records Management: Document-Based Information Systems" by Robek, Brown and Stephens (unofficially referred to as the "Robek Book"), is still the de facto book in our industry. If you are a candidate for the Certified Records Manager (CRM) exam through the ICRM (Institute of Records Managers) you cannot pass the exam without having read this book as a part of your study materials.

What is important to know about the Robek book is that regardless of the age of the book, the basic principles that are utilized to form a core foundation for a strong records management program are contained within this book. The book is divided into six parts: program development, active records management, electronic records management, imaging management, related records functions and inactive records management. The book also specifically addresses naming conventions, filing systems, reprographics, forms management, vital records, facilities requirements and restoration methods for records related disasters.

Though in black and white there are a significant amount of photographs that give a great visual for what machinery, offices and filing systems are supposed to look like. There are also great diagrams that serve as examples for forms management and records inventory management.

A critique of the book is that is does contain some older material, particularly regarding computers and how to manage digital content, since a lot of the content focuses on paper based records management. However, a robust section on microforms exists, which might be irrelevant to most of our current roles; however you can't pass the CRM without knowing at least the basic on microforms such as types, ratios and viewing equipment.

If you are sitting for the CRM, you need to buy and read this book cover-to-cover no matter what if you'd like to pass most of the exams on your first try (read the "Principles of Management" book by Eileen Benowitz to help you pass Part 1). If you are a records manager you should have a copy of this book on your desk at all times to serve as a reference book. "Information and Records Management: Document-Based Information Systems" is still a highly viable book to every records manager and should be a core staple in your library as a practicing professional.
