Tracking Company Credit Cards
To track your charges and payments on your company credit card, set up a separate credit card account for each card. Then enter each charge individually using "Enter Credit Card Charges." When your statement arrives from the credit card company, "reconcile" the credit card account just like a bank account.

Entering credit card charges
To track your charges and payments on your company credit card, set up a separate credit card account for each card. The account type is "Credit Card", a special kind of liability account. Click OK. Each time you charge on this card, enter the transaction in your credit card account. Choose Activities>Enter Credit Card Charges. To see the detail of your credit card charges and payments, look in the VISA register. There are two ways to quickly get to the register. Either display a charge form and click the icon, or double-click the credit card account from the chart of accounts window.

Reconciling credit cards and paying the bill
When your credit card bill arrives, reconcile the account just like the checking account. Select the credit card account in the chart of accounts and choose Activities>Reconcile Credit Card.

When you're finished reconciling the credit statement, click Done. QuickBooks asks if you want to pay your bill now, or enter a bill for later payment. Click "Enter a bill for payment later" to transfer funds out of your credit card account and into Accounts Payable. When you Pay Bills, your credit card bill will show up in the list of bills to pay.

Fill out the Bill for the VISA payment, just like any other Bill. In the categorization section, the VISA account automatically shows up. This transfers the balance out of the credit card account and into Accounts Payable.

The next time you pay Bills using Pay Bills from the Activities menu, the VISA Bill will show up in the list of Bills to pay.
