I was able to set up the Neat Cloud and Evernote accounts without any problem. Unfortunately I experienced issues both with linking the device to my Gmail and Google drive accounts. I also have real concerns with the company and the customer service.
When I called Neat about my problems I was put on hold. Hold times average about an hour. I was 29th in the queue. I managed to use the online support which was inadequate. My 2 questions were (1) why can't I upgrade my firmware to the latest version on the website and (2) why won't the scanner recognize my gmail and google drive accounts. After 30 minutes of very frustrating interaction I got the following responses (1) our servers are down, not sure when they will be back up. (2) Everthing seems to work on my end but let me look into it and send you an email later.
There is nothing else (wireless) like this product and it works great with Evernote, Dropbox, and the Neat Cloud service yet the frustrating customer service and lack of answers leave me pondering if I should return the device.
To start off with, when this product works, it's great. It's very convenient and makes scanning your documents quick and easy. The page feeding mechanism is less than stellar. When the scanner uploads images, it recognizes the document type correctly and processes the OCR fairly accurately. Not bad, not perfect, but not bad.
The Neatcloud is a good idea, but the user interface is horrible. You can't drag and drop documents and you don't have any sort of preview, so you have to open each document individually to see what it is. There's no way to merge documents, say if you have a bunch of receipts you want to merge into one giant PDF, no can do.
That brings me around to a flaw with the unit itself. My Canon DR-2010C works much, much better when feeding multiple pages... The Neatconnect will jam on even the flattest pieces of paper. Neatconnect is also slower than the Canon, so if you're doing high volume scanning, don't bother with this thing. You'll be standing at it all day handling misfeeds and trying to feed documents. Which also brings up another design flaw in this unit. You can't feed multiple sheets one after another. If the sheet isn't already in the unit when it starts pulling the last sheet through, you are stuck. You have to start a whole new scan. With the Canon, it will wait for a fraction of a second to allow you to feed another sheet if you have wrinkly sheets that won't feed properly.
This is a huge drawback for this unit... because you can't merge documetns and because you can't manually feed multiple documents, you are completely stuck with scanning one sheet at a time as individual documents... and then you have to deal with them through the ultra-poor user interface on the Neatcloud website. All in all, it's a complete nightmare to deal with.
If you just want to scan your documents and never look at them again, it probably works great. If you want to organize them, then you are out of luck.
This brings me to the biggest flaw in this unit, and it's a complete deal breaker for everyone, I'm sure:
The unit will scan a series of pages, tell you it's uploading them and then the documents never show up in Neatcloud. At first I thought I had screwed something up, but it happened several times and I finally investigated it a bit deeper. I scanned a series of documents, hit SEND and waited. The document never showed up. I then went back to the outbox and told it to send it again... it said it was sending and everything was fine, but the document again never showed up. There is literally no way to know there's a problem unless you go and look for the specific document on Neatcloud. As I said, there's no preview function, so you have to open each one individually... and heaven help you if it's gone into the "unable to process" folder, because you can't even view documents from there - you have to download the PDF and view it locally.
I have now discarded countless documents that I thought had been uploaded and it turns out they are gone forever.
This unit has too many flaws. Do not buy it, you will be sorry. You will lose your documents and you will be frustrated.
I tried contacting their customer service, but if you try to send them an email with their contact form, the website says "A problem has been encountered. Your question could not be processed." I tried to do this several weeks ago, and I tried again several weeks later. Their webform has always returned that error - that's not a problem with the website, that is intentional malice to prevent people from contacting customer support.
Neat is a poor company, with poor products and poor customer service. Avoid them.
What I like about this scanner:
1. Small footprint and nice looking machine
2. Good paper feeder and fast scanning
3. Standalone device, without requiring a computer to use. Can scan directly to the cloud, ftp, email, or SD card.
4. Elegant and simple interface
5. Good quality scans and a good selection of image formats
What I dislike about this scanner:
1. If you want to use your computer to scan, you must connect to your computer through USB because you can't do it through wifi.
2. TIFF format is uncompressed, so filesize is huge.
3. PDF format is not standard compliant and larger than needed.
4. Crashes and buggy
RECEIPT SCANNING IS GREAT
I own document scanners made by Epson, Fujitsu, Brother, and Canon. This is probably the best receipt scanner I've used. Receipts are difficult to feed through document scanners. Often document scanners just eat up, crumble, or tear the receipts I feed to it. Reason is that receipts are often printed on very thin sheets of paper, are long and narrow, has folds and wrinkles, or poorly cut/torn from receipt printers.
I'm not saying there are no issues feeding receipts through the NeatConnect scanner, but the issues are rare compared to other document scanners. Scanning receipts is dead simple. I just walk into my office, insert a half dozen receipts. The scanner comes on and I press scan, and I walk away. The whole process is about 10 seconds. Because it was scanned to the NeatCloud, I'll have those receipts in my Neat app within about 1 to 2 mins when it's sync, with the invoice date, store name, totals, and taxes already filled in the Neat app. It's about 60% to 70% accurate.
With other document scanners, I would waste about 5 to 10 minutes to accomplish the same task.
DOCUMENT SCANNING FALLS SHORT
However, here is where the scanner falls short. I scan a lot of documents and mostly in TIFF or PDF format, because those are the only two formats that you can "combine" multiple pages into one file/document. Yes, the NeatConnect supports both TIFF and PDF formats, but there are issues with both. If you are scanning to the NeatCloud, only PDF is supported; NeatCloud does not support TIFF. This is a limitation with NeatCloud.
If you scan to SD card, ftp, email, or other cloud service, you can save it to many formats such as PDF, TIFF, PNG, JPG, and so forth. But remember, if you want to "combine" multiple pages into one file/document, you can only select TIFF and PDF. This isn't a limitation with the NeatConnect, but a limitation of the image/file format.
If you rely NeatCloud, document scanning might work for you. Scanning documents is fast and pretty hands off besides inserting the documents and pressing scan. Once the documents is done scanning, the document gets "process" and then gets "uploaded" to Neat Cloud. The scanning part is fast. The "processing" and "uploading" might take minutes, so you should go do something else after pressing scan. Once your documents is uploaded and then sync back to your Neat app, your document shows up as searchable PDF, meaning the document has gone through OCR.
However, I don't want to rely on NeatCloud. I don't want to scan sensitive documents to the cloud. I don't like using Neat app for storing documents. I only use the Neat app for receipts. So what are my options? Scan to SD card or scan to my local FTP server I've set up. No, I would not email myself sensitive documents. Email isn't secure/encrypted and gets bounced around many servers before reaching your email client, so sending yourself sensitive documents might not be a good idea.
PDF Format Issues:
I scan all my documents into searchable PDF format. To create a searchable PDF file using the NeatConnect, you would have to scan it to NeatCloud. If you scan to other cloud services, FTP, or SD card, your resulting file is a PDF file that has not been OCR, so not searchable. You would need to use an OCR program to create a searchable PDF. It's not that big of a deal if the resulting PDF is a standard complaint PDF file. The problem is that the PDF file is in a not standard PDF format that Abbyy, Prizmo, Evernote, and other OCR programs have problems processing.
The PDF file size is also much larger than I would get with other scanners. A one page Letter document at 300 dpi in B&W is over 700KB with the NeatConnect, while other scanners scanning the same document with the same settings, would result in file size of about 100KB. I could live with the file size if my OCR apps can process the PDF files from NeatConnect. Too bad it can't. Neat uses Haru Free PDF Library to convert the scan image to PDF. Not sure if that's the problem, but probably is.
TIFF Format Issues:
So my other option is TIFF. Well, there is a whole set of other issues with TIFF. There is a "combine" option for TIFF, but it doesn't work right. If you scan 10 sheeted double-sided document (20 pages, 2 pages per sheet) using "combine" TIFF, you would expect a 1 file/document with 20 pages. Nope, you get 10 pages in 10 TIFF files. You are missing 10 pages, but get 10 separate 1 page files. So what happens when you select "separate" scanning the same documents? Well, you get 10 separate files, with 2 pages on each file. Huh? Doesn't make sense. Seems like a bug.
The scan image quality in TIFF format looks great. You think 700KB for a page in PDF is bad? Well, it's 8MB for each page with the same scan settings of 300 dpi in B&W. Other scanners with the same settings would result in a 1MB file. Why is that? Because for whatever reason, Neat chose to use uncompressed TIFF, which does not make much sense for a document scanner and sends files through WiFi or through the internet. My other document scanners uses compressed TIFF, which works just as well as the uncompressed TIFF when it comes to OCR processing.
Because of the large file size, there are lots of bugs/issues with it. I would scan a 17 page document and send it to FTP. NeatConnect shows all 17 pages scanned and sent. However, my FTP server only shows 7 pages. What happened to the other 10 pages? Don't know. Similar bug when scanning to my Box.net account. Some files just don't get sent. By the way, 17 pages at 8MB each page, so about 136MB in total. Imaging scanning a 100 page document. That would be sending 800MB's over the internet. That's just crazy.
So I try scanning to SD card. Well, I often get an error saying it has problems writing to my SD card, although the files did show up. Problem was probably it took too long to process those large TIFF files.
Because of the large file size of the TIFF format, you can crash the scanner when scanning even a 15 page document. The scanner probably crash because it ran out of memory to store all the TIFF image files and process them.
So TIFF is also out of the question. Can't combine multiple pages to one TIFF file. Filesize is too large to send through WiFi/internet practically, and sometimes crashes the scanner.
My only other option was PNG. I don't want to use GIF or JPG, cause those formats are not very good for OCR or converting to searchable PDF. PNG file size is much more reasonable. About 1MB instead of 8MB for uncompressed TIFF. Too bad you can't combine multiple pages into one PNG file. Too time consuming to import all the PNG files, reorder them, and then convert those pages into one searchable PDF file.
I really want to like this scanner. I love how easy it is to scan receipts. I love the hardware, paper feeder, and the idea of having a standalone scanner without the need for a computer. I love the elegant and simple interface.
I just wish document scanning would work just as well as receipt scanning. Could be a 5 star scanner if TIFF and PDF file format works correctly. Too many issues with those 2 formats.
Might be worth it for you if you don't scan a lot of documents and scan mostly receipts. Or if you plan on using NeatCloud for everything.
